with the 40 double rooms.

Then you just need to approve/reject sponsorship requests and tell to
those approved to fill their name in the room they prefer. Human
psychology and entropy will do the rest.

A couple of days before the event we print the table and give it to the
hotel, so they can proceed with the check-in as people arrive.
